Security Guard Shift Handover Checklist
Download a short handover form for outgoing and incoming guards. The two-page resource contains a blank checklist and a fictional completed example. Both files are free to use without signup, email or a demo booking.
Make open work understandable to the next guard
Identify the post, outgoing guard, incoming guard and handover time. Review unresolved issues together and give each item a latest known status and a next action. A blank box must not be treated as confirmation that there is nothing to report.
Use None reported or Not applicable where that is accurate. If an item has not been checked, write Not checked and explain what the incoming guard needs to confirm under the site procedure.
What to carry forward
Cover open incidents, keys and equipment, visitor or delivery follow-up, patrol or checkpoint problems, and relevant site conditions. Record a reference to a detailed incident report instead of rewriting the full event. Include only information needed for the incoming shift.
Check receipt and condition of assigned equipment as the site requires. This checklist does not authorise restricted-area entry or the sharing of access credentials. Follow the approved access and escalation arrangements.
Fictional handover example
At Harbor Point Offices - Fictional Example, Example Guard A hands over to Example Guard C at 06:00. A door defect and exterior light issue remain open. Receipt of the information and equipment is recorded without claiming that either defect has been repaired.

Acknowledgement is not closure
Outgoing and incoming acknowledgements record the handover of information. They do not establish that every task was performed, that an incident is resolved or that the whole site is free of defects. Record repair confirmation or a later outcome separately.
Separate the roster from the handover
A roster describes planned coverage. A handover records information passed between shifts. If relief changes an assignment, update the planned segments as well as the handover note; do not use an acknowledgement as proof of hours worked.
