Plan coverage
Use the Excel schedule to assign guards to dated site/post segments, including overnight shifts and split replacement coverage. The matching PDF provides a printable roster. Planned hours are separate from actual attendance.
Record a shift's activity
Use the daily activity report for a chronological account of a shift. Keep observations, action times and unresolved items clear, and reference a separate incident report when one event needs more detail.
Record patrol task results
Use the patrol checklist to record which assigned checks were performed and what issues were found. A performed inspection can reveal an unresolved defect; a checkpoint visit does not certify every task.
Document one incident or reported issue
Use the incident form for the event location, observations, sources, immediate actions, notifications and follow-up status. Keep reported information distinct from what the guard personally observed.
Pass open work to the next shift
Use the handover checklist for unresolved issues, assigned equipment, site conditions and next actions. Incoming acknowledgement records receipt of information, not closure of every issue.
