Adapt the checklist to your site

Start with the approved patrol instructions for your site. Name the areas or checkpoints on the assigned route and write a clear task for each one. Include only checks you are authorised and equipped to perform. A technical-room entrance check does not authorise entry into the room.

Your site instructions determine when checks are due, which routes are permitted and who receives an escalation. This template does not set a patrol frequency or replace those instructions.

What the two-page download includes

Page 1 is a blank patrol checklist with six header fields: Site/property, Guard name, Date, Shift, Patrol area/route, Supervisor/reviewer. Seven blank task rows leave room for handwriting. Short tables capture issues or exceptions and items for the next shift.

Page 2 is a fictional completed example. Edit the DOCX to suit your approved route, or print the PDF and fill it in by hand. Keep the example separate from completed site records. No CheckpointGuard software is needed to use either file.

Complete? means the listed check was performed, not that no defect was found. Use Yes, No or N/A; explain No or N/A. A checkpoint scan does not certify task completion.

For Issue found?, record Yes or No after the check; use N/A if it could not be assessed and explain why. Record an observation and action rather than assuming that a blank field means everything was satisfactory.

Normal and night patrol checks

Use the same checklist for a daytime or night patrol, adapting the tasks to the site and shift. Ordinary checks may cover clear access routes, assigned door checks, visible obstructions and the condition of lighting along an approved walkway. Record only what you actually checked.

At night, consider visibility, exterior lighting and the site's arrangements for access and contacting a supervisor. Report a failed light or an unsafe route under the site procedure. Follow the approved safe route; do not enter a restricted area or improvise a hazardous inspection to complete a box.

If a check cannot be completed, mark it No, explain the reason and record the action taken. Use N/A only where the task does not apply. Neither status should conceal a missed required check.

A checkpoint visit is not task completion

A checkpoint record describes an interaction at a checkpoint. It does not by itself show that a door was tested, a walkway was inspected or every listed task was completed. Keep any checkpoint reference separate from the result of the actual check.

A completed check can reveal a defect. In the example, the service-door inspection is marked Yes under Complete? and Yes under Issue found? because the guard performed the check and found that the door did not latch. The defect remains Open until its outcome is confirmed.

Fictional completed patrol checklist

Harbor Point Offices - Fictional Example. All people, places and events below are invented and can be adapted to an approved site procedure; they are not customer evidence.

Example Guard A works from 22:00 on 14 January 2026 to 06:00 on 15 January, with Example Supervisor B as reviewer. The route covers entrances and an exterior walkway. Times are site local time; 05:50 and 06:00 are on 15 January. These example times are not a recommended patrol schedule.

Issues and exceptions

Record the location, observed issue, action taken and current status. Note who was informed and when. Supervisor notification does not mean a repair has been completed. In this fictional example, both defects remain open at handover.

Items for the next shift

Carry unresolved issues forward with their latest known status and a specific next action. Make the handover understandable to someone who did not perform the patrol. If your organisation requires a separate incident report, follow that process and add its reference where useful; this checklist does not replace it.

Can I use it as a night patrol checklist?

Yes. Adapt the tasks to the approved night route, visibility, lighting and escalation instructions for your site. The same form supports daytime and night patrols; the example does not prescribe how often to patrol.

Does Complete mean no issue was found?

No. Complete records whether the task was performed. A completed inspection can identify an issue that remains open. Record that separately under Issue found? and describe the action taken.

Does a checkpoint scan prove the checks were completed?

No. A scan records a checkpoint interaction. Record each actual task result separately and explain checks that were not completed.
